WHAT DATA WE COLLECT
We may collect and process the following categories of personal data:
Candidates: Full name, contact details (email address, telephone number, postal address), CV and employment history, educational background, professional qualifications, references, salary expectations, right-to-work status, and any other information you choose to provide us in the course of a job search.
Clients: Names and contact details of hiring managers and HR professionals, job requirements, and information relating to your organisation that you share with us during the recruitment process.
Website visitors: Technical data collected automatically, including IP address (anonymised before processing), browser type, device information, pages visited, and time spent on site. Where you have consented to analytics cookies, this data is also processed by Google Analytics on our behalf. See our Cookie Policy for details.
HOW WE COLLECT YOUR DATA
We collect personal data in the following ways:
Directly from you — when you submit a CV, complete a contact form, email us, call us, or connect with us on LinkedIn.
From third parties — including job boards (such as Reed, CV-Library, Totaljobs), LinkedIn, referrals from other candidates or clients, and publicly available professional profiles where you have made your details available for recruitment purposes.
Automatically — through cookies and similar technologies when you visit our website. Optional analytics and functional cookies are only used where you have provided consent, and you can withdraw that consent via the on-site "Cookie Settings" control. See our Cookie Policy for more information.
HOW WE USE YOUR DATA
We use your personal data for the following purposes:
Candidates: To match you with suitable job opportunities; to submit your CV to clients (with your prior consent); to communicate with you about roles, market information and career advice; to fulfil our contractual and legal obligations; and to maintain records of our interactions.
Clients: To provide our recruitment services; to match suitable candidates to your vacancies; to communicate with you about your hiring needs; and to fulfil our contractual obligations.
Website visitors: To maintain the security and performance of our website; to analyse usage and improve the user experience; and to respond to enquiries submitted via our contact form.
LEGAL BASIS FOR PROCESSING
We process your personal data on the following legal bases under UK GDPR:
Legitimate interests — to operate as a recruitment business, including maintaining a talent pool, contacting you about relevant opportunities, and communicating with clients about their hiring needs, where those interests are not overridden by your rights.
Contract — where processing is necessary to perform our recruitment services for you or to take steps prior to entering into a contract at your request.
Legal obligation — where we are required to process data to comply with applicable law (e.g., right-to-work checks or tax obligations).
Consent — in specific circumstances where we have asked for and you have given your explicit consent, such as when we submit your CV to a named employer.
HOW LONG WE KEEP YOUR DATA
Candidates: We retain your personal data for up to two years from our last meaningful contact with you. We will contact you periodically to confirm that you wish to remain on our database. You may ask us to delete your data at any time.
Clients: We retain business contact data for the duration of our working relationship and for a reasonable period thereafter to maintain records of placements and comply with legal obligations.
Where we are required to retain data by law (e.g., for tax or accounting purposes), we will keep it for the legally required period.
WHO WE SHARE YOUR DATA WITH
We do not sell your personal data. We may share it in the following circumstances:
Prospective employers (clients) — with your express consent, we will share your CV and relevant details with clients for specific vacancies.
Service providers — we use trusted third-party providers to support our operations, including our website hosting provider, email platform, and CRM system. These providers process data only on our instructions and under appropriate data processing agreements.
Analytics providers — we use Google Analytics 4 (provided by Google LLC) to understand how visitors use our website. Google receives technical usage data including anonymised IP addresses, browser information, device type, and pages visited. Google processes this data under a data processing agreement and in accordance with Google's Privacy Policy. Analytics cookies are only placed with your consent and you can withdraw consent at any time via our on-site "Cookie Settings" control.
Legal and regulatory authorities — where required by law or to protect our legal rights.
We do not transfer your personal data outside the United Kingdom unless appropriate safeguards are in place.

AUTOMATED DECISION-MAKING
We do not carry out any automated decision-making or profiling that produces legal effects or similarly significant effects on individuals. All decisions made in connection with recruitment are made by a member of the Coconut Lime team.
